Prioritizing the Task at Hand

As any of the experts at myCUmortgage can attest, 2026 has been busy with multiple large-scale projects, including the move to a new and much improved loan origination and point of sale system, launching a new file sharing platform for our partner credit unions and standing up the entire organization for our robust and growing service transfers business. In all honesty, I could list dozens of major accomplishments since January, but there’s only so much room on the blog.

Personally, I have the most exposure to our Marketing Team, so that’s where I’d like to take you today – to the apex of marketing activity for the year! The leading component of that discussion is myCUmortgage’s largest annual event, the 2026 Partner Conference, scheduled for Oct. 19-21 in Dayton. This year, attendees will take a voyage on the mortgage seas with a robust agenda of speakers and networking events fit for any home loan crew. While continuously planning for this award-winning event, the team also led our CUlture Keepers committee in delivering a fantastic 25-year anniversary celebration last Friday. The event included two freshly cooked meals, online trivia contests, raffle giveaways, outdoor games and competitions and an upbeat Town Hall meeting, all over the course of an entire day. Phenomenal work and planning by the committee and the myCUmortgage Leadership Team made this happen – great job!

And if planning and preparing for two major events weren’t enough, the team continued to work on its day-to-day activities and projects: social media posts, informative emails, logo designs, website maintenance, facilitation of the Direct-to-Member marketing program, supporting and promoting the Total Expert CRM platform, reviewing communications, public relations, trade show support, collateral development, etc. I’ll stop there, as I’m sure you get the picture and the point I’m making for this blog post…

We all wear many hats and have various responsibilities, especially in the credit union world. It’s important that we organize and prioritize so that we not only survive each business day but also establish ourselves as your members’ trusted financial partners.

I’ve discussed tips and methods around general workplace organization in previous blog posts – I encourage you to reflect on those messages as we take a more specific approach to managing multiple members at once, particularly those seeking homeownership through your credit union. Here are some tips for doing just that:

Build a Master Schedule

  • I’m a big fan of calendars and charts, though most of mine involve solar and lunar cycles or comet trajectories. For your mortgage business, create a master calendar that houses all member deliverables, recurring check-ins and deadlines in one place.
  • Color-code member activities and meetings as well as regularly occurring events (e.g., staff meetings) so you can visually identify busy weeks and potential overlaps.
  • Spend 15-30 minutes at the end of each workday mapping out top priorities for the following day.

Prioritize Prioritization!

  • In researching inventive ways to prioritize, I discovered the Eisenhower Matrix. This is a four-quadrant chart that helps you categorize tasks as Do First (urgent and important); Schedule (important but not urgent); Delegate (urgent but not important); and Don’t Do (not urgent or important).
  • Each morning, identify your top three outcomes for the day and tackle them before opening your inbox or chat.
  • Know your workload capacity and learn to say no to extra requests before your current member tasks suffer.

Protect Your Focus

  • Use time blocking to assign dedicated, distraction-free hours to a single member or specific type of task.
  • Group similar administrative duties (e.g., emails, reporting) into single batches to reduce time and energy loss from switching tasks.
  • Set clear boundaries and turn off notifications during deep work sessions so members understand your response windows.

I also discovered something called the 3-3-3 Rule that’s worth mentioning. Popularized by author Oliver Burkeman in his book Four Thousand Weeks: Time Management for Mortals, this method of prioritizing and completing tasks recommends taking the following three steps:

  • 3 Hours of Focused Work: Spend your first or highest-energy block of the day (usually three uninterrupted hours) working deeply on your single most important project or goal.
  • 3 Important/Medium Tasks: Complete three shorter, distinct tasks that need to get done. These are often urgent to-dos or things you have been actively putting off.
  • 3 Maintenance Activities: Finish with three routine chores or maintenance items that keep your personal or professional life running smoothly (e.g., clearing emails, exercising, tidying your workspace).

There are obviously many different methods of prioritizing and completing your member-facing and general business tasks. Just as these methods are all unique, so are each of you. Try different techniques and methods to find the combination of steps that’s right for you. Doing so is imperative to achieving your goal of helping more members with homeownership!
